Prepare before importing

Choose a rollout owner and a representative from operations and billing. Write down what the new TMS must handle at launch and which workflows can follow later. Agree on how to preserve your existing records before changing systems.

Review customer, carrier and location lists for duplicates. Decide which names and reference formats to keep, who owns each record, and which documents must remain available. Do a trial import before the production import.

Use real operating scenarios in the pilot

Choose examples that reflect your operation: a regular lane, a multi-stop shipment if you handle one, and a load with an approved extra charge. Test the complete process from load creation through documents and billing.

Have the actual users perform the work. Record where they need help, which fields are missing, and which approvals are unclear. Resolve those issues before expanding the pilot. Do not treat a successful data import as a successful operating rollout.

Define the cutover boundary

Decide where each open load and outstanding invoice will be managed. Avoid a situation where two systems both appear to own the same transaction. Preserve access to historical records and the evidence behind opening balances or imported items.

Set a go-live review with operations and billing. Confirm who handles urgent issues, how to contact support, and what your team will do if a required workflow does not work. Keep the previous records available under your retention procedure.

Review the first complete billing cycle

Check that completed loads, required documents, customer invoices and carrier bills reconcile as expected. Review user access and outstanding exceptions. Update training notes based on real questions from the desk.
